Privilege seats are available for parents/guardians to purchase if their child is not eligible for a free term ticket and would like for them to travel on a contracted school bus service.The Privilege Seat scheme replaces the Council’s Spare Seat scheme and relates to transport on school buses from September 2016.
How to Apply
In order to apply for a privilege seat you will need to complete an online application form between 00:00 (am) on 27 June 2016 and 12:00 (midday) on 07 July 2016. You will only be able to apply for the services listed below so please review this list before making your application. Further information on the bus routes can be accessed via the ‘School Bus Routes’ tab above.
Please note: You will only be able to apply for one bus service per application form so if you live in an area which is served by more than one bus service, you will need to make separate applications for each of the services you would like your child to be considered for.
The form will be available during the dates above via the 'Do It Online' tab above and is called an ‘Application for a Privilege Seat on School Transport’. Please note: that any applications received outside of this application window will not be accepted.
If you are unable to complete the form yourself you can telephone the Councils’ contact centre for a member of staff to complete the form on your behalf. The phone number can be found under the ‘Contact’ tab, above.
We would prefer you to submit an online application, however, if you are submitting a paper application by post, please bear in mind that it will still need to be received by the Transport Team at County Hall by the deadline. Sixth Form Students Applications
You will not be able to apply for a seat for a sixth form child until later in the autumn term. The dates of the application window are to be announced, however, it is likely that this will be after the October half term. Sixth form students are expected to make their own transport arrangements for at least the duration of the first half of the autumn term.
How the process works once an application is submitted and recieved
After the application window closes we shall start the allocation process.
An automated, random-number generator (randomiser) will be used to allocate children to bus services. All submitted applications will have a reference number and will be grouped together by the service requested on the form. All reference numbers will be entered, once, into the randomiser and the order in which the randomiser places the reference numbers will be recorded against the application. We shall then allocate the number of seats available to those in the order which the randomiser has generated.
For example, there are 25 seats available on service 305 and we receive 30 applications for that service. All 30 applications will have a reference number and all 30 reference numbers will be placed into the randomiser at the same time. The randomiser will then randomly order those 30 reference numbers from 1 to 30. The order will be recorded against the application and the first 25 will be offered a privilege seat. The remaining 5 applicants will go on a waiting list for that service, in the order the randomiser has generated.
Contacting Parents/Guardians with the outcome
We shall contact all parents/guardians via email (if one was provided on the application form) or by letter by the end of July 2016.
If your child has been selected as having a seat, you will be sent details of how you should pay.
If your child has not been selected they will be placed on a waiting list for the service(s) applied for. You will be notified that your child is on the waiting list(s) and you will then be contacted as and when seats become available.
If you have applied for more than one bus service.
If you have applied for more than one bus service the randomiser may allocate your child to one or more of the requested services. If this is the case, you will be contacted (by telephone or email) and asked which bus service you would like the seat to be on – so please ensure the contact details on your application form are up to date. Should we not receive an answer from you within 5 days of contacting you, your child will be allocated a seat automatically. You will not be able to transfer to a different service once a choice has been made.
If your child has been offered a seat you will need to make payment by 13:00 on Saturday 20 August 2016 in order for your child’s ticket to be ready at school for the commencement of the academic year. Should you pay any later than this we will not be able to guarantee that a ticket will be at school.
As the beginning of the academic year is very busy please be aware that if you do pay late the Transport Team may not be able to confirm with schools whether a late payment has been made as promptly as we would like so do ensure you pay by the date above.
Please remember that if you have not made payment your child will not be permitted to travel. This will be strictly enforced from September 2016.
If you have not made any kind of payment by 13:00 on Saturday 17 September 2016 it will be assumed that you do not want to take up the offer of a privilege seat and the seat will be offered to a child that may be on the waiting list. You would then need to reapply during a new application window should you want to take up a seat again.
